Meeting cost calculator

Estimate the real cost (fully loaded salaries) of a meeting based on the number of attendees, their average annual salary and the planned length, with an optional live counter to track the cost as the meeting unfolds. Nothing is sent to a server.

How it works

A "free" meeting is never really free: every minute uses up each attendee's time (and therefore salary). This tool converts annual salaries into fully loaded hourly rates, then calculates the cumulative cost of all attendees for the length of the meeting — a way to put a number on the question "was this meeting really worth it?".

How is the hourly rate calculated from the annual salary?

The annual salary is divided by a typical number of hours worked (about 1,645 hours a year, i.e. 47 weeks at 35 hours after deducting time off), then increased by 40% to approximate the real cost to the employer (employer charges included). It's an average estimate, not an exact payroll calculation.

What is the live counter for?

Once the cost per minute is calculated, start the counter just before the meeting begins: it shows the elapsed time and the cumulative cost in real time, a concrete way to keep the value of everyone's time in mind during the discussion.

The salaries you enter stay in your browser only and are never sent to a server.
